Privacy Policy

Summary. AXIRIS Business Automation provides AI-assisted business communication and automation tools. This policy explains what information we collect, why we use it, how connected accounts are handled, and the choices available to customers.

1. Scope

This Privacy Policy applies to AXIRIS Business Automation, including the public website, customer accounts, workspaces, AI-assisted features, CRM/contact features, email connections, campaigns, automations, activity logs and related services made available through automation.axiris.io.

2. Information we collect

Account and workspace information

We may collect information you provide when creating or using an AXIRIS account, including:

Contacts and CRM information

If you add, import or sync contacts, AXIRIS may process contact names, company names, email addresses, phone numbers, notes, relationship stage, follow-up status and related business records. You are responsible for ensuring that you are permitted to upload and use this information.

AI prompts, drafts and generated content

AXIRIS processes instructions you submit to the AI Assistant or specialist agents, together with drafts, edits, generated communications and related context needed to provide the requested feature.

Connected-account authorization data

When you connect a supported third-party service, such as Google Workspace or Gmail, AXIRIS receives authorization information necessary to use the permissions you approve. AXIRIS does not ask you to provide your Google password.

Usage and activity information

We may store records such as login/session activity, AI usage, emails sent through supported integrations, automation status, execution results, errors and security-related events.

3. Google user data and Gmail permissions

AXIRIS currently uses Google OAuth to let a customer authorize supported Gmail or Google Workspace actions. The current Gmail permission is intended to allow AXIRIS to send email from the customer's authorized mailbox when the customer requests, approves or configures that action.

AXIRIS does not use the current Gmail sending permission to read the contents of a customer's inbox. If AXIRIS introduces additional Google permissions in the future, the customer will be shown the requested permissions and this Privacy Policy will be updated where appropriate.

AXIRIS handles information received from Google APIs in accordance with the Google API Services User Data Policy, including applicable Limited Use requirements.

AXIRIS does not use information obtained from Google Workspace APIs to develop, improve or train generalized AI or machine-learning models.

Requests that require AI generation may be processed by the AI service provider used by AXIRIS for that function. Depending on the feature, this may include your instructions, business context and the content necessary to generate or edit a requested output. Customers should avoid submitting information they are not authorized to process.

AXIRIS may use infrastructure, cloud, authentication, AI, payment, email or security providers to operate the service. Information is shared with such providers only to the extent reasonably necessary for them to perform their services for AXIRIS.

AXIRIS does not sell customer personal information to advertisers. AXIRIS may disclose information where required by law, legal process, or to protect the security and rights of AXIRIS, customers or others.

7. Marketing and service communications

AXIRIS may send transactional or service communications relating to account security, billing, policy changes, connected services, trial status, product operation or other important service matters.

Promotional or marketing communications are handled separately and should be sent only where permitted by applicable law and the customer's marketing preferences or other lawful basis. Where required, customers can opt out of promotional communications.

8. Cookies, local storage and sessions

AXIRIS may use browser storage, cookies or similar technologies for account sessions, interface preferences, pricing-region preferences, security and product functionality.

AXIRIS retains information for as long as reasonably necessary to provide the service, maintain account and security records, meet legal obligations, resolve disputes and enforce agreements. Retention periods may differ depending on the type of information and the purpose for which it is processed.

AXIRIS uses technical and organizational measures intended to protect customer information. Examples may include authenticated sessions, hashed credentials, access controls, encrypted connections and token-based authorization for supported third-party integrations.

No online service can guarantee absolute security, and customers are responsible for protecting their own account credentials and connected third-party accounts.

AXIRIS and its service providers may process information in countries other than the country where a customer is located. Where applicable, AXIRIS will use appropriate safeguards for international transfers as required by law.

Depending on your location, you may have rights to access, correct, delete, restrict or object to certain processing, or to request information about how your personal information is handled. You may also disconnect supported third-party integrations through the relevant AXIRIS connection controls or through the third-party provider's account settings.

You may request deletion of your AXIRIS account and associated personal data by contacting admin@axiris.io, subject to information AXIRIS may need to retain for legal, security, fraud-prevention, accounting or dispute-resolution purposes.

AXIRIS Business Automation is intended for business and professional use and is not directed to children.

15. Changes to this policy

We may update this Privacy Policy as AXIRIS changes or as legal, security or product requirements evolve. Material changes may be communicated through the website, product interface or other appropriate service communication.
